Namuna Academic Journal (NAJ) is committed to protecting the personal privacy and data integrity of all authors, reviewers, editors, and registered readers. This statement outlines our policies regarding the collection, processing, dissemination, and protection of personal data handled via our Open Journal Systems (OJS) editorial platform.
1. Scope of Personal Data Collected
When you create an account, submit a manuscript, or participate in the peer-review process, NAJ collects the following categories of information:
- Identification & Contact: Full name, institutional email address, phone number, and physical mailing address.
- Academic Background: Institutional affiliation, department, country, academic credentials, and official ORCID iD.
- Reviewer Competencies: Reviewing interests, discipline classifications, and biographical statements.
- System Metadata: Login timestamps, browser/IP access records, tracking logs, and automated editorial communication histories.
2. Purpose & Use of Collected Information
The personal data gathered is utilized strictly for scholarly and operational purposes, specifically to:
- Facilitate the end-to-end editorial, peer-review, copyediting, and production workflows.
- Attribute authorship and establish academic accountability in published research records.
- Match qualified peer reviewers with relevant submitted manuscripts based on domain expertise.
- Distribute automated notifications, publication alerts, calls for papers, and Table of Contents (TOC) updates to registered subscribers.
- Generate anonymized, aggregated platform metrics and readership statistics.
3. Public Disclosure & Third-Party Indexing
As an open-access scholarly publisher, certain metadata associated with accepted publications is intentionally made publicly available worldwide:
Published Authorship Metadata
Upon publication, author names, institutional affiliations, contact emails, and ORCID identifiers are permanently embedded in the article full-text, PDF galleys, and HTML landing pages. This data is deposited with scholarly indexing agencies, including Crossref, Google Scholar, DOAJ, and institutional digital repositories.
We do not sell, rent, commercialize, or disclose non-public personal information (such as unpublished manuscripts, reviewer identities, or confidential correspondence) to commercial advertisers or third-party organizations.
4. Double-Blind Review Confidentiality
To preserve the integrity of our peer-review standard, all reviewer identities remain strictly confidential and are never disclosed to authors or external parties. Likewise, reviewer feedback is communicated exclusively through the secure OJS editorial interface without compromising anonymity.
5. Data Retention & User Rights
Registered users hold full autonomy over their profile information:
- Access & Modification: You may update your profile, affiliations, reviewing roles, and notification preferences at any time via your user dashboard.
- Account Deactivation: You may request the deactivation of your account or the removal of your contact information from our mailing lists.
- Archival Preservation: In accordance with international scientific publishing standards, published articles and their associated authorship metadata cannot be expunged from the permanent scholarly record.
